Job Description


We are seeking a dynamic and versatile individual to provide comprehensive secretarial and administrative support to the Department of Nutrition and Dietetics located at Southmead Hospital. The ideal candidate will be a skilled organizer with the ability to thrive in high-pressure environments and collaborate effectively with a team, even when working independently, demonstrating sound judgment and initiative.

This role is diverse and engaging, involving interactions with patients, the public, medical professionals, and support staff, making strong interpersonal skills a crucial asset.

The position is part-time, requiring availability every Thursday and Friday. The successful candidate will have exceptional keyboard skills (both audio and copy) and a keen eye for detail to assist the Dietetics clinical team efficiently. They should excel at teamwork while being proactive in delivering administrative support to ensure the smooth operation of the Nutrition and Dietetics clinical teams, both inpatient and outpatient, thereby maintaining a high standard of service.

Prior experience with Microsoft Excel, Word, and Outlook is essential. Familiarity with CareFlow is advantageous, and training will be provided as needed.

This role involves:

  • Providing secretarial and administrative assistance to the Dietetics team at Southmead Hospital, including audio-typing, digital transcription, file maintenance, photocopying, and letter composition.
  • Coordinating referrals and liaising with the booking team for outpatient appointments.
  • Collaborating with colleagues to ensure smooth departmental operations and liaising with other hospital units for meetings and facility upkeep.
  • Handling incoming mail, triaging documents for appropriate action, and being the primary contact for phone calls and visitors to the department.
  • Responding to patient inquiries, redirecting complex issues to dietitians, managing the department's phone system, and processing patient referrals.
  • Supporting the clinical placement program for student dietitians, managing non-stock item orders, attending team meetings, and proposing service enhancements.
  • Identifying personal development needs, participating in mandatory training, and undertaking other duties as assigned.
