Your Role

DFM seeks an enthusiastic Administrative Assistant to bolster its dedicated team. Renowned for its outstanding employee retention and esteemed reputation in the agriculture and dairy sector, this position offers an exciting opportunity for an administrative professional who values customer-centric service, meticulousness, and teamwork.

Reporting to the Corporate Services Coordinator, this office-based role entails delivering exceptional support to the Corporate department and DFM. Candidates should possess strong organizational skills, attention to detail, and a proactive attitude.

Your Responsibilities

  • Handle incoming calls and route them to the appropriate personnel.
  • Manage DFM's emails, faxes, and postal correspondence, directing them to the relevant staff.
  • Welcome and assist office visitors.
  • Distribute information to members and industry partners as needed.
  • Compile data and create documents.
  • Support in organizing company events, meetings, and activities.
  • Maintain office, warehouse, and kitchen/lunchroom supplies, as well as event materials inventory.
  • Proofread documents and ensure accuracy of information.
  • File documents both electronically and in hard copy.
  • Take minutes in Administrative Team meetings and track action items.
  • Execute additional administrative tasks and special projects as assigned.

Requirements and Qualifications

  • 1-2 years' experience in an administrative capacity.
  • Completion of a Diploma or certificate program in Administrative Assistance is advantageous.
  • Proficiency in Microsoft Office 365.
  • Strong interpersonal skills, customer service orientation, and a positive demeanor.
  • Reliability, integrity, and a diligent work ethic.
  • Collaborative, organized, and proactive with an ability to prioritize tasks and adapt to change.
  • Excellent verbal and written communication skills in English.
  • Detail-oriented and capable of handling confidential information.
  • Track record of meeting deadlines while maintaining work quality.
