Job Summary

The Administrative Assistant will work closely with the Senior Property Manager to provide efficient and reliable support for the properties in their portfolio. This role involves interacting with external service providers and tenants, maintaining office systems, and enhancing operational efficiency.

Responsibilities

Ensuring Tenant Satisfaction

  • Deliver professional services to tenants
  • Address basic inquiries and escalate complex issues
  • Organize special activities to enhance tenant experience

Maintaining Building Operations

Efficient Building Operations

  • Answer main telephone line and handle general inquiries
  • Manage building/portfolio meeting room schedules
  • Maintain office common areas and equipment
  • Handle incoming/outgoing mail and couriers
  • Organize and maintain filing systems
  • Prepare documents and reports
  • Update tenant and supplier databases

Supporting Team Members

  • Provide administrative support to various team members
  • Collaborate with Accounting for complex inquiries
  • Respond to Accounting-related matters

Managing Financial Information

  • Maintain Purchase Order list and tenant chargeback invoices
  • Handle accounts receivable functions
  • Reconcile supplier invoices and manage accounts payable
  • Update monthly Accounts Receivables report
  • Utilize Yardi software for financial inquiries

Promoting Sustainability

  • Provide feedback on energy-saving opportunities

Other Responsibilities

Qualifications

Education

  • Minimum high school diploma
  • Post-secondary education preferred

Experience

  • 2+ years of relevant office experience
  • Previous Property Management/Real Estate experience advantageous
  • Experience with Yardi and Microsoft Office required
