Administrative Assistant / Receptionist

Job Responsibilities

We are seeking a proactive and detail-oriented individual to manage daily calls and payment schedules. The ideal candidate should possess strong self-motivation, exceptional customer service skills, and keen attention to detail while ensuring a prompt response. Responsibilities include reviewing daily account reports provided by the Supervisor.

Duties of the Administrative Assistant include:

  • Answering incoming calls and reviewing voicemails
  • Following phone scripts
  • Ensuring the lobby is well-presented
  • Directing and transferring clients to the appropriate staff member
  • Scheduling and confirming client appointments
  • Assisting clients with intake forms
  • Communicating clients' arrivals to relevant parties
  • Reviewing and scanning documents
  • Receiving payments and issuing receipts
  • Scheduling financial meetings with clients
  • Processing new retainers
  • Reviewing case details and court minutes
  • Emailing urgent matters to the team
  • Tracking packages and mail
  • Maintaining a daily sign-in sheet
  • Completing and delivering daily reports to the Supervisor

Position:

Full-time: Monday to Friday, 9 AM - 6 PM (1-hour unpaid break) + Saturday 9 AM - 1 PM (OT rate)

Skills & Qualifications:

  • Excellent written and verbal communication skills
  • Bilingual fluency in English and Spanish
  • Friendly and cooperative attitude
  • Ability to work well in a team
